Policy and Procedure Spotlight
Allocation Workshops
Classroom Scheduling will be offering a series of workshops throughout the summer to assist departments with using the new class allocations features in MAUI. These sessions are designed to walk users through updated processes, demonstrate key functionality, and provide hands-on support to ensure a smooth transition to the new allocation workflow. Workshop scheduling information will be forthcoming.

Same Classroom Request
New Feature!
A Same Classroom Request is a type of scheduling preference in MAUI Planner selected by the Academic Departmental Administrator (ADA) to indicate that multiple class meeting or section offerings should be assigned to the same classroom for the duration of the date range. The preference is set by selecting Yes for Is Same Classroom Request in Add Room Preferences modal on the Time & Location page.
This option is typically used when a course meets on a rotating basis in the same time block, or when instructional consistency requires a single classroom location for non-routine or irregular meeting patterns. It is commonly used in combination with what could be described as “Every Other” recurrence patterns when the schedule does not follow a standard weekly cadence.
Do not use this option for standard, recurring class schedules (e.g., courses that meet every MWF, TR, or Monday–Thursday (M-R) in the same room each week). Routine weekly meetings should be scheduled normally using the regular recurrence pattern without this option. Importantly, this selection does not indicate that the same classroom assignment from the previous like session should carry forward. Any specific room preference should be communicated in the text field above immediately above this field.
This option is intended for non-routine section meeting patterns, such as courses that rotate within a time block or require a consistent room for occasional, specialized activities (e.g., case studies, breakout sessions, or once-per-month class meetings). This field should be applied across few section offerings in University Classrooms. If you are unsure if this field applies to you, please reach out to the scheduling team.
When selected, this field informs class time allocation calculations that the same classroom will be shared across the associated meetings or sections, resulting in a single allocation count rather than multiple counts.

This new LIVE report compares room usage in each time slot by day of week to the academic unit's allocation.
Click on the hyperlink numbers to see a summary of the section offerings and/or rooms used in that time slot. Select the desired session, academic unit, and Planner Status to filter to the week’s results.
For each standard class meeting block, the report displays how many rooms are being used Monday through Friday and flags instances where usage exceeds the allocated threshold.
- Yellow flags indicate the department has exceeded the academic unit’s allocation for the respective time slot.
- Red flags designate department has exceeded the academic unit’s allocation for the week.
- The blue banner reminds the user of the usage spread across the five teaching days by class time in addition to a total week figure.
The goal of this report is to visualize the spread of class offerings across the week balancing usage of M, W, and F with T and Th by highlighting time periods that exceed allocation. This makes patterns of scheduling pressure immediately observable and actionable. This report can be used in initial schedule planning, during proof round, and thereafter, by selecting the Planner status filters.

Welcome to Classroom Scheduling, Mary!
We are pleased to announce that Mary Rankin is the newest member of the Classroom Scheduling team! She joins us from the Registrar Service Center and has spent the last month immersed in the fascinating world of Ad Astra, allocations, scheduling policies, and hundreds of new acronyms. When she isn't at work, Mary enjoys playing slow-pitch softball, visiting her family in Illinois, and baking treats for her favorite new co-workers. We are so grateful for Mary's enthusiasm and sense of humor as she settles into her new role.
Pet of the Month
Hogan, affectionately known as Hogie, is Renee's bestest boy and has a penchant for eating sandwiches... and literally anything else that crosses his path, including all Amazon deliveries. Hogie's motto is: "When every classroom is a peanut butter sandwich, you need rules - or chaos wins."
